Take the order once, then follow each garment.

At the counter, capture the customer, the work, the promise and the payment. The garment tag then carries the order through factory, transfer and collection.

Start a customer order

Find the customer first so their contact details, order history and rewards balance are available. Add each garment as a separate item, then choose the cleaning services or alteration operations that apply. Confirm the due date before taking payment.

  1. Find or add the customer

    Search before creating a new record. Add a mobile number when the customer wants ready-for-collection texts or an order-tracker link.

  2. Add garments individually

    Record each physical garment separately. A two-piece suit, for example, should have a separate item for the jacket and trousers if each needs its own handling.

  3. Add services and alterations

    Choose the priced service or operation rather than relying on a free-text description. Add fitting details where the alteration needs one.

  4. Confirm the promise and take payment

    Use the calculated due date as the starting point. Review any balance, deposit, surcharge or reward credit with the customer before finalising.

Counter checkBefore the customer leaves, repeat the garment count, the service or alteration scope, and the collection date. It is much easier to correct an order before tags are printed and work moves to the factory.

Print and attach garment tags

Every garment receives its own barcode tag. The tag identifies the garment, not only the customer order, which means garments from the same order can move through different steps while remaining traceable. For order 40122, tags may be numbered 40122-1, 40122-2 and so on.

  • Print tags before the garments leave the counter.
  • Match every tag to the correct physical garment and service instructions.
  • Do not reuse a detached tag on another garment.
  • If a tag is damaged, resolve it while the garment is still at the counter so the scan trail remains clear.

Take a payment or balance

Record the amount received against the order when you take it. If you collect a balance later, open the same order and record that payment rather than creating a separate transaction. Where your site uses an integrated Linkly terminal path, follow the terminal prompt and confirm the result before completing the counter screen.

Good practiceKeep the receipt with the same order conversation if a customer queries a payment later. The end-of-day reconciliation is most useful when every counter payment has been recorded at the time it was taken.

Correct a payment or refund

First identify whether the issue is an incorrect service, an incorrect amount or a genuine refund. Check the order and payment record before changing anything, especially if the order has already been transferred or collected. Use the appropriate authorised workflow at your business rather than trying to offset the error with an unrelated order.

  1. Locate the original order and payment

    Use the order number, garment tag or customer record so you are changing the correct transaction.

  2. Confirm what is being corrected

    Correct a line item if the service was entered incorrectly. Process a refund only for money that should be returned.

  3. Record the reason with the order

    Give the owner enough context to understand the variance during reconciliation.

  4. Reprint or provide confirmation if needed

    Make sure the customer has a clear record of the corrected balance or refund.

Send the customer tracker link

Customers can open their order tracker from a deep link; they do not need an app or a login. Use the mobile number on the customer record for automated messages, including ready-for-collection notices where your SMS gateway is configured. The tracker should complement the counter explanation, not replace it.

Apply rewards and surcharges

Rewards provide $10 credit for every $100 spent and expire after 60 days. Confirm the available credit and expiry before applying it. Use a surcharge, such as express, only when the service requirement and due date have been agreed with the customer.
